Does AI really save time in vending operations?

For small vending operators, artificial intelligence's biggest benefit may not come from futuristic machines or complicated predictive models. It can be as straightforward as having another set of hands in the office.

For small vending operators, artificial intelligence's biggest benefit may not come from futuristic machines or complicated predictive models. It can be as straightforward as having another set of hands in the office.

Jason Hrisanthacopoulos, owner of B'More Bites Vending LLC, said he regularly uses artificial intelligence to draft emails and proposals, create social media content, analyze sales results, plan meal quantities, brainstorm menus and organize ideas for growing his business.

"For a small business owner handling most of the operation personally, AI is almost like having an additional assistant," Hrisanthacopoulos said in an email interview. "It helps me complete administrative and marketing tasks much faster, so I can spend more time servicing locations, building customer relationships, and growing the business."

Mike Burnett, founder and CEO of SmartMarket Solutions, sees similar benefits on the operational side. He said artificial intelligence helps owner-operators make decisions faster, reduce time spent on routine work and concentrate on expanding their businesses.

"The biggest savings our owner/operators are seeing is in time," Burnett said in an email interview. "Better data, smarter inventory decisions, and fewer manual processes help operators run a more efficient business."

Those experiences get to the heart of one of the biggest questions surrounding artificial intelligence in vending. Operators have heard plenty about the technology's potential, from predictive maintenance and computer vision to inventory forecasting and automated route planning. But beyond the hype, does artificial intelligence actually give operators meaningful amounts of time back?

Industry executives and operators say it increasingly does. The biggest gains, however, often come from relatively unglamorous applications: eliminating manual inventory reviews, identifying machines that require attention, analyzing sales patterns, planning replenishment and reducing administrative work.

Finding the work that consumes time

For vending operators, repetitive tasks can quietly consume large portions of the workweek. Someone has to review sales reports, determine what products should be loaded on trucks, decide which locations require service, plan routes and document what happened after a service call.

Neal J. McLeod, founder of Houston-based artificial intelligence automation and software development company CTK Industries, said in an email interview that operators are most likely to realize those savings when they begin with a clearly defined operational problem.

"In my experience, AI saves time in vending when it is attached to a real workflow problem, not when it is added as a layer of hype on top of already messy operations," McLeod said.

McLeod identifies route planning, inventory forecasting, exception handling and administrative work as particularly promising applications. Instead of requiring employees to manually review every location and product, artificial intelligence can identify the machines, locations or stock keeping units that deserve attention.

The result is an important change in workflow: Employees spend less time searching for problems and more time addressing the problems that have already been identified.

Eliminating counting, chasing and guessing

Andrew Uzoigwe, director of global sales at IVM, believes operators should look beyond flashy artificial intelligence applications and consider how much employee time disappears into routine inventory management. Indianapolis-based IVM provides smart vending machines, intelligent lockers and inventory-management software for workplaces.

"AI isn't saving vending operators time by predicting what snack sells best on a Tuesday," Uzoigwe said in an email interview. "It's saving time by killing the manual counting, chasing, and guessing that eats up an operator's week."

Automated inventory tracking can reduce physical counting. Real-time alerts can tell employees when products are running low or equipment requires attention. Digital transaction records can reduce the amount of reconciliation required later.

Uzoigwe said the same principles extend beyond conventional snack and beverage vending. Automated systems can track personal protective equipment in factories, laptops on college campuses and other valuable assets.

Burnett also sees opportunities beyond inventory management. He said artificial intelligence can contribute to merchandising, pricing, customer experience and profitability while helping operators make better daily decisions.

For larger vending companies, shaving a few minutes from activities performed across hundreds or thousands of machines can produce substantial cumulative savings. For smaller operators such as Hrisanthacopoulos, however, the benefits can begin before a route vehicle ever leaves the warehouse.

Using generative artificial intelligence to create a proposal or analyze sales results may free up time that can instead be spent servicing an account or meeting a prospective customer. In that sense, artificial intelligence doesn't necessarily have to reside inside a vending machine to improve the economics of operating one.

AI doesn't fix a bad process

There is an important catch: Artificial intelligence can make an efficient process faster, but it can also accelerate an inefficient one. Inconsistent processes can simply produce inconsistent results more quickly when they are automated.

That makes preparation important. Operators need reliable data and repeatable processes before expecting automation to deliver meaningful improvements.

McLeod said the relevant measure shouldn't be whether an operator has deployed artificial intelligence but whether the technology has actually changed operational results.

"The useful question is not 'did we add AI?'" McLeod said. "It is 'did cycle time drop, did handoffs shrink, did rework go down, and did operators get better visibility into what actually needs attention?'"

If those measures don't improve, he said, artificial intelligence may simply have created another dashboard employees must monitor.

His recommended approach is to map the workflow first, identify points where human judgment and trust remain necessary, automate appropriate portions of the process and then measure the results. Customer issues, financial decisions and unusual exceptions are among the areas where people should remain involved.

Some problems still require a person

Artificial intelligence can prove effective at recognizing demand patterns and identifying exceptions. But when an exception requires judgment, an employee still has to deal with it.

Vending operators face that boundary every day. An algorithm might predict that a machine is developing a problem, but it can't necessarily repair the refrigeration system. It can identify an unusual sales pattern, but it may not know that construction has temporarily changed foot traffic at a location. And customer complaints or disputes can require context and judgment that are difficult to automate.

Artificial intelligence therefore works best as a filter and prioritization tool rather than a universal substitute for employees.

What happens to the time saved?

Perhaps the most important measurement isn't simply the number of hours artificial intelligence eliminates. It is what an operator does with those hours afterward.

Saving time on inventory analysis matters if drivers can service routes more efficiently. Eliminating administrative work matters if an owner can spend those hours pursuing new locations. Predictive maintenance matters if technicians arrive with a clearer understanding of the problem instead of beginning the diagnostic process from scratch.

Artificial intelligence does not automatically make a vending operation more efficient. But when operators apply it to repeatable tasks that require employees to spend hours counting, reviewing, comparing, documenting or predicting, the technology can deliver something every vending business can use more of: time.

Yes, artificial intelligence can save time, but the real benefit comes from reallocating human attention from routine information processing to work requiring judgment, relationships and action.
